Research Operations Associate

Under supervision of the Program Director, the Research Operations Associate manages functional activities in cooperation with the Department Director and Principal Investigators (PIs). Provides administrative managerial support by implementing financial and operational activities for each group or department. Facilitates and implements the financial, grant management, operational and human resource activities. Additionally, interacts and coordinates with clinical and research managers and Principal Investigators (PI) across the institution. Department specific job duties may include, but are not limited to, event coordination, space planning, project management, strategic planning and providing other specialized support to PIs and project work.

Experience:

3-5 years of business management experience in an academic research or healthcare environment. 
Demonstrated experience in budget development or grant management. 

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

1. Develop and administer budgets and reconcile expenses across multiple service lines. Authorize expenditures within established limits. Track and monitor budget activities and analyze variances and reporting.

2. Provide leadership and oversight of pre- and post- grant process and grant activity for all PIs. 

3. Works directly with Department Director and PIs to develop federal grant proposals and Investigator Initiated Clinical Trials. 

4. Coordinate activities with Office of Sponsored Research and other collaborators. Manages spending on grants so that all expenditures are appropriate and allowable within the grant budget and year end reporting.

5. May supervise staff and administer performance evaluations and/or develop performance improvement strategies under the direction of Program Director. 

6. Represent Principal Investigators to facility personnel including Safety, IACUC and IRB.

7. Support management and academic activities of research staff.

8. Participates in the research and academic activities of the institute, strategic planning, philanthropic development to support research efforts. Represents the interests of the institute in inter-and intra-institutional research projects.

9. Responsible for tracking and reporting all high-level Capital/Research Operations projects. Prepares complex or high-level regular and ad-hoc financial reports for management. Ensures accuracy and timeliness of these reports.

10. Maintain and update ongoing database of grant/funding opportunities for faculty and other research staff.

11. Be a departmental resource for and promote updates on changing grant stipulations and federal funding guidelines.

DEPARTMENT AND/OR UNIT SPECIFIC – ESSENTIAL JOB RESPONSIBILITIES:

1. Track research related expenses and work effort for all research personnel and generate reporting feedback to each PI and aggregate to Program Director and Department Director. 

2. Act as departmental liaison with other departments for questions regarding research activities and projects.

3. Update and maintain shared drive access to federal, state, foundation and industry grant opportunities.

4. Present periodic in-service to WCP faculty regarding changes in federal grant guidelines.

5. Represent WCP faculty interests on T&E.

6. On behalf of PIs maintain research related SRFA/ISRO dashboards.

Educational Requirements:

Bachelor’s degree in business, finance or related research field (or equivalent related work experience).
Master’s degree preferred. 

License/Certification/Registration Requirements:

Certified Research Administrator preferred.

Physical Demands:

Able to perform moderate lifting. Able to sit, stand and walk for prolonged periods of time. Able to read papers and online documents. Able to operate standard office equipment. Able to exercise physical ability and perspective acuity to satisfactorily perform essential job functions.
